Privacy Notice – Bioversity International Newsletters

This privacy notice tells you about the information we collect from you when you sign up to receive our newsletters by leaving us your business card, or your details on the the sign-up sheet. In collecting this information, we are acting as a data controller and, by law, we are required to provide you with information about us, about why and how we use your data, and about the rights you have over your data.

We are not required to have a data protection officer, so any enquiries about our use of your personal data should be addressed to the contact details above.

What personal data do we collect?

When you request to subscribe to our newsletter, we use the email address indicated on your business card.

Why do we collect this information?

We use this information to send you our newsletters:

  • The Bioversity International newsletter which contains general information about the work of Bioversity International.
  • The Agrobiodiversity Index newsletter contains updates about the Agrobiodiversity Index – a tool to measure and manage agrobiodiversity in sustainable food systems.

We will only send you the newsletter you have subscribed to receive – and we will not send you any other communications or pass your details to any third party.

The name of your organization and work title could be used if you have given it, in order to help inform the content of our newsletters so that it is pertinent to the subscribers interests. We ask for your consent to do this, and we will only keep your data in our database for as long as you continue to consent. An opt out option will be given in every communication we send out.

What do we do with your information?

We use Mailchimp to manage the newsletter mailing lists. Your data is stored by Mailchimp which is a US based company that can store data outside Europe. See for more details on the privacy protection policy of our data processor.

How long do we keep your information for?

Your information is kept until you ask us to remove it from the database by sending an email to Please state which newsletter you are subscribed to in your email.

Your rights over your information

By law, you can ask us what information we hold about you, and you can ask us to correct it if it is inaccurate. You can also ask for it to be erased and you can ask for us to give you a copy of the information. You can also ask us to stop using your information – the simplest way to do this is to withdraw your consent, which you can do at any time, either by clicking the unsubscribe link at the end of any newsletter, or by emailing, writing or telephoning us using the contact details above.
